Research Before Reach: Why Better B2B Outbound Starts With Relevance

Most outbound does not fail because the email was badly written. It fails because the business receiving it was never a genuine prospect. Relevance is decided before the first word is drafted — in the research.

Volume is the wrong operating principle

The economics of sending email are close to zero, and that has shaped a generation of outbound: buy a list, write a sequence, send more when replies fall. When the unit cost of a message is nothing, the temptation is to treat coverage as a volume problem.

But the recipient's attention is not free, and neither is the sender's reputation. Every irrelevant message teaches a market to ignore the sender. Deliverability decays, reply rates fall, and the business concludes that outbound does not work — when what did not work was untargeted outbound.

The operating principle behind outbound that creates revenue is different: contact fewer businesses, and make every contact defensible. If the sender cannot explain in one sentence why this specific business should care, the message should not be sent.

The account is the asset, not the reply

Outbound programmes measured on replies optimise for replies. Programmes measured on revenue optimise for accounts.

A researched account is durable. The business exists, the fit is real, the buying roles are known. Whether the first message lands well or not, that knowledge keeps its value: the account can be re-approached with better timing, a different angle or through a referral. A reply, by contrast, is a moment.
